Specifications for tables related to citations

Fields are shown under each table.  Comments about future changes or unresolved design issues are shown in contrasting color.  Version specific features are noted by highlighted text.

• tblAddressBook, an auxiliary table associated with tblPeople which contains contact information.
  • PersonID, integer, 2 bytes, = tblPeople.PersonID
  • Affiliation, text, 75 unicode characters maximum, person's affiliation - usually a professional or education organization.
  • PhoneNum, text, 30 unicode characters maximum, person's phone number.
  • StreetAddr, text, 70 unicode characters maximum, person's street address (';' are translated into carriage returns in the display.)
  • CityName, text, 50 unicode characters maximum, the name of the city in the person's address.
  • StateProvName, text, 50 unicode characters maximum, the name of the state in the person's address. Selected from a value in tblAddrStates.
  • CountryName, text, 50 unicode characters maximum, the name of the country in the person's address. Selected from a value in tblAddrCountries.
  • ZipCode, text, 50 unicode characters maximum, The zip or postal code in the person's address.
  • Email, text, 50 unicode characters maximum, The person's Email address.
• tblAddrCountries, shared across files, a list of country names and codes used by the address book.

• tblAddrStates, shared across files, a list of country codes and state names used by the address book.

  • DataStatus, integer, 1 byte, status of recording content of the citation, deleted in version 4.0 and replaced by InfoFlagStatus and values in ConceptChange and NewNameStatus, bit values:

    • 2 = concept flags recorded, considered done (When this bit is on, the bit in the previous line is also on.)
    • 4 = nomen flags recorded, may need review

    • 0x10 (16) = info flags recorded, may need review
    • 0x20 (32) = info flags recorded, considered done (When this bit is on, the bit in the previous line is also on.)
  • NewNameStatus, integer, 1 byte, status of new names as listed in tblNewNameStatus values 0 to 18. (Values 11 to 16 are used only in tblTaxonHistory.) added in version 4.0
  • TypeClarification, integer, 1 byte, type designation or clarification, added in version 4.0
  • ConceptChange, integer, 1 byte, kinds of change to taxon concept as listed in tblContentChanges, added in version 4.0
  • CurrentConcept, bit, value 1 indicates this citation provides the current concept.
  • InfoFlags, integer, 2 bytes, flags for presence of types of information as listed in tblCiteInfoFlags added in version 4.0
  • InfoFlagStatus, integer, 1 byte, status of information in InfoFlags added in version 4.0
    • 0 = not data
    • 1 = partial data or needs review
    • 2 = complete data
  • PolynomialStatus, integer, 1 byte.  A value of 1 indicates tblCites.NomenclatorID should form the basis for a taxon name LSID and be included in data sent to the Catalogue of Life and exported in Darwin Core. added in version 4.0
    • 0 = no change recognized; NewNameStatus = 0, 1 or 8.  Also, all taxa above genus rank have this value.  Also, all cases of insufficient nomenclator information have this value.  NewNameStatus can = 2 when nomenclator has data such as "? ([subgenus name})" for the original description.
    • 1 = first use of polynomial; NewNameStatus = 2, 4-7, 10 or 17-19
    • 2 = later use of polynomial; NewNameStatus = 4, 5, 7 or 10
    • 3 = treated as synonym; NewNameStatus = 3 or 9
    • 4 = duplicate use in nominotypical sub; NewNameStatus = 2, 4-7, 10 or 17-19. The sub is used to represent all duplications except for the original description of the genus or species without the sub.
    • 5 = not used for lack of scientific name; NewNameStatus = 2 or 5
    • 6 = not used because of AccessCode; NewNameStatus = any
    • 7 = outside of primary scope; NewNameStatus = any
• tblCiteTypes, relationship of citation to the status of a name.  Deleted in version 3.3.
  • CiteTypeID, integer, 1 byte, identifier for the citation type

  • ContainingRefID, integer, 4 bytes, when the reference is included within a different reference, it is = tblReference.ID for the different reference.  When ContainingRefID > 0, ActualYear and StatedYear must = values for row where RefID = ContainingRefID, PubID must = 0, Volume must = "".  Title and RefPages may have values separate from the row where RefID = ContainingRefID.

    • 2 = concept flags recorded, considered done (When this bit is on, the bit in the previous line is also on.) In version 4.0 this indicates tblCites.ConceptChange > 0.
    • 4 = nomen flags recorded, may need review. In version 4.0 this will no longer be used.
    • 8 = nomen flags recorded, considered done (When this bit is on, the bit in the previous line is also on.) In version 4.0 this bit is no longer used.
    • 0x10 (16) = info flags recorded, may need review

• tblRefAuthors, linking table to match references with authors (Every reference must have an entry in the linking table to make the views work correctly.  For references without and author, use person "Unknown", PersonID = 0.)

    • bit value 32 if this person is a character recorder
    • bit value 64 if there is another person in the database with the same family name.  This includes alternate names, except a duplication between an alternate and its PrefID name does not count as a duplication.
    • bit value 128 if there is addressbook information available for this person
    • bit value 256 if this person is unused (deletable) no longer used
    • bit value 512 if this person has alternate names
    • bit value 1024 if this person is assigned a taxon as an expert

  • Status, integer, 1 byte, status of reconciliation with tblPeopleReg, for future development
    • 0 = no reconciliation attempted
    • 10 = sent add request to SFSdb
    • 20 = add request acknowledged by SFSdb, no LSID available yet
    • 30 = sent modify request to SFSdb
    • 40 = modify request acknowledged by SFSdb
    • 70 = received request from SFSdb for editor decision
    • 80 = editor decision received from editor and sent to SFSdb, return acknowledgement not yet received
    • 100 = all questions resolved, LSID available from SFSdb

  • PersonRegID, integer, 4 bytes, = tblPeopleReg.PersonRegID
  • FileID, integer, 2 bytes, = tblFiles,FileID, this together with PersonRegID forms the primary key
  • Status, integer, 1 byte, status of reconciling tblPeopleReg with the tblPeople in the species file

    • There is no status for process completed.  When this happens, the row is deleted from the table.

  • SuitableForSpecies, bit.  A value of 1 indicates this row in tblNomenclator may be used to determine if the citation for a species-group taxon should be used to generate a taxon name LSID.  Reasons for a value of 0 include missing names and names that are not scientific names  Added in version 4.0.
• tblGenusNames, genus and subgenus names for lookup in tblNomenclator.  The names in this table are guaranteed to be in tblTaxa except when their usage is based on a specimen identification.  TaxonNameID is not recorded here because the name may appear more than once in tblTaxa.
  • GenusNameID, integer, 2 bytes, primary key
